2. Information we collect

When you contact us

If you email us, call us or use our contact form, we collect the details you give us, such as your name, business name, email address, phone number and the content of your message.

When you call our AI demo line

Calls to our demo line are answered by an AI assistant, and it tells you this at the start of the call. If you leave your details or ask for a call back, we collect what you share, such as your name and phone number. [Confirm whether demo calls are recorded or transcribed, which provider processes them, and for how long recordings are kept.]

When you visit this website

This website does not use cookies, analytics or advertising trackers. Our hosting provider may keep standard server logs (such as IP address and pages requested) for security and to keep the site running. [Confirm hosting provider.]

3. How we use your information

  • To reply to your enquiry and arrange conversations you've asked for
  • To provide our services if you become a client, and to manage our relationship with you
  • To meet our legal, accounting and tax obligations
  • To keep our systems and website secure

We do not sell your personal information, and we do not use it for marketing unless you've agreed to that.

4. Our lawful bases

Under UK GDPR we rely on:

  • Legitimate interests to respond to enquiries and run our business
  • Contract where we provide, or are preparing to provide, services to you
  • Legal obligation where we must keep certain records
  • Consent where we ask for it, which you can withdraw at any time

5. When we act for our clients

When we set up an AI assistant or automation for a client, it may handle personal information about that client's own customers, such as callers' names and contact details. In that case our client is the data controller and we act as their data processor, under a written data processing agreement. If you've contacted one of our clients, please see their privacy notice or contact them directly.

6. Who we share information with

We only share personal information where needed, with:

  • Service providers that help us run our business, such as email, hosting, telephony and AI providers, under suitable contracts
  • Professional advisers, such as accountants, where necessary
  • Authorities where the law requires it

[List key providers once confirmed.]

7. International transfers

Some of our service providers may process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.

8. How long we keep information

We keep enquiry information for as long as needed to deal with your enquiry and for a reasonable period afterwards [e.g. 12 months]. Client records are kept for the length of our contract and as required for legal and accounting purposes [e.g. 6 years after the end of the financial year].

9. Keeping information secure

We use appropriate technical and organisational measures to protect personal information, including access controls, multi-factor authentication and up-to-date, managed devices. [Confirm these measures.]

10. Your rights

Under UK GDPR you have the right to:

  • Access the personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete your information
  • Object to or restrict how we use it
  • Ask for your information to be transferred to another organisation
  • Withdraw consent, where we rely on it

To use any of these rights, email hello@example.com. We'll respond within one month.

11. Complaints

If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
